Managing your business on Facebook and Instagram requires a Meta Business Portfolio (previously known as Facebook Business Manager). This free tool enables you to organize all your business assets, including Facebook Pages, ad accounts, Instagram accounts, and WhatsApp, under one secure hub.
In this guide, we’ll walk you through the three phases:
- Creating your Meta Business Portfolio
- Adding your business assets
- Granting access to your agency
Phase 1: Create Your Meta Business Portfolio Account
Setting up your Meta Business Portfolio correctly is essential for keeping your digital assets safe and organized. It ensures that your Facebook Page, Instagram, WhatsApp, and ad accounts are all managed in one secure place. This not only protects your business from unauthorized access but also makes collaboration with your marketing agency seamless, helping you run ads more efficiently and track performance with confidence.
1. Log into your Facebook account
Use the account you want to manage your business with. Stay logged in on the same browser.

2. Go to business.facebook.com/select
- If you already have one or more portfolios, they will appear here automatically.
- If none exist, Facebook will redirect you to set one up.
3. Check if one is already created for your Page
In many cases, if you’ve created a Facebook Page for your business, Meta may have automatically created a Business Portfolio linked to it.
If you see one with your Page name, that’s the one to use.
If not, click “Create Business”.

4. Enter your business details
- Add your company name, primary business email, and other required information.
- Follow the on-screen instructions until your Meta Business Portfolio is fully set up.
Once your portfolio is created or if one already exists, you’re ready for the next step.
Phase 2: Add Your Company Assets to the Meta Business Portfolio
Now it’s time to connect all your business tools (Pages, Ad Accounts, Instagram, WhatsApp) inside the portfolio.
1. Go to the Settings panel
In the dashboard, click Settings in the bottom-left corner.

2. Connect your Facebook Page
Navigate to Accounts → Pages.
Check if your Facebook Page is listed.
If not, click Add and follow the steps to connect it.

3. Connect your Ad Account
Go to Accounts → Ad Accounts.
If your business already has an ad account, make sure it’s listed.
If not, click Create Ad Account and complete the setup.

4. Add Instagram and WhatsApp accounts
- To connect Instagram: Accounts → Instagram Accounts → Add.
- To connect WhatsApp: Accounts → WhatsApp Accounts → Add.
Log into each account when prompted to verify ownership.

At this point, all your digital assets are organized in one secure place.
Phase 3: Grant Access to Your Agency
For your agency to manage ads, track performance, and optimize campaigns, you’ll need to grant them access.
1. Open Business Settings: In your portfolio, go to Settings → Users → Partners.
2. Add a Partner (Agency): Click Add. You’ll be asked for your agency’s Business Manager ID (they will provide it).
3. Assign assets and permissions:
- Choose which assets (Pages, Ad Accounts, Instagram, WhatsApp) the agency should manage.
- Grant the level of access they need (usually “Manage” for full campaign handling).
4. Confirm and Save: Your agency will now receive access to your assets and can start managing campaigns on your behalf.
